Owner

Highest Access

Full control over the organization and all settings

Permissions:

  • Manage billing and subscription

Admin

High Access

Manage team members and most organization settings

Permissions:

  • Invite team members
  • Remove members (except owner)
  • Manage templates and designs
  • Configure organization settings
  • View audit logs
  • All member permissions
  • Cannot manage billing
  • Cannot delete organization

Member

Standard Access

Create and manage certificates and badges

Permissions:

  • Create certificates and badges
  • Use existing templates
  • Generate and send certificates
  • View analytics and reports
  • Access shared resources
  • Cannot invite team members
  • Cannot change settings
  • Cannot delete shared templates

Viewer

Read-Only Access

View certificates and reports without editing capabilities

Permissions:

  • View certificates and badges
  • View templates
  • Access analytics and reports
  • Download reports
  • Cannot create or edit
  • Cannot send certificates

📧 Inviting Team Members

1. Navigate to Team Settings

Go to Settings → Team Management in your dashboard

2. Click "Invite Member"

Enter the email address of the person you want to invite

3. Select Role

Choose the appropriate role (Member, Admin, or Viewer) based on their responsibilities

4. Send Invitation

They'll receive an email with a link to join your organization

5. Track Status

Monitor pending invitations and resend if needed

💡 Pro Tip: Bulk invite multiple team members at once by uploading a CSV file with email addresses and roles.

⚙️ Managing Team Members

Change User Role

Promote or change a team member's role as responsibilities evolve

Settings → Team → Click member → Change Role

Remove Team Member

Remove access for team members who have left or changed roles

Settings → Team → Click member → Remove Access

Resend Invitation

Resend invitation emails for pending team members

Settings → Team → Pending Invitations → Resend

View Activity Log

Track what each team member has done (Admins and Owners only)

Settings → Team → Activity Log

Shared Templates

Create templates that all team members can use. Templates can be marked as "shared" to be available organization-wide.

Shared Brand Assets

Upload logos, fonts, and color palettes to a shared library for consistent branding across all certificates.

Comments & Collaboration

Leave comments on draft certificates for team review and approval before sending.

Activity Notifications

Get notified when team members create certificates, send batches, or make important changes.

💡 Team Management Best Practices

1. Follow Principle of Least Privilege

Give team members only the permissions they need. Start with Member role and upgrade to Admin only when necessary.

2. Regular Access Reviews

Review team member list quarterly. Remove access for members who have left or changed roles.

3. Document Team Workflows

Create internal documentation about who handles what tasks (e.g., who approves templates, who sends certificates).

4. Use Shared Templates

Create shared templates for common use cases to ensure consistency and save time across the team.

5. Monitor Activity Logs

Regularly review audit logs to catch errors early and ensure compliance with your organization's policies.

Note: When you invite a new team member, they'll count as a seat immediately. Removing a member frees up that seat.
